How to Send PHI/PII Securely Outside
the Children’s Aid Network
Protecting sensitive data is critical. Protecting sensitive data is critical. When sending Protected Health Information (PHI) or Personally Identifiable Information (PII) outside of Children’s Aid, there are two secure options to choose from:
- Use #secure in the subject line of any email containing PHI/PII or sensitive data. This ensures the email is encrypted automatically.
OR
- Password-protect the document before sending it:
- Save the document in Word or Excel.
- Go to File > Info > Protect Document > Encrypt with Password and set a password. (Remember: The password cannot be recovered if forgotten.)
- Send the password-protected document as an attachment and share the password in a separate email to the same recipient.

Let’s work together to safeguard sensitive information!
